Admissions, Fees & Refund Policy

OXDUB International College (“OXDUB”, “we”, “our”) is committed to maintaining a fair, transparent, and student-friendly admissions and financial process. This policy outlines the requirements, procedures, and conditions related to admission, payment of fees, refunds, and course enrolment.


1. Admissions Policy

1.1 Eligibility Requirements

Applicants must meet the minimum academic and language requirements defined for each course. Requirements may include:

  • Academic transcripts or certificates

  • English language proficiency (if applicable)

  • Passport or valid identification

  • Age criteria (course-specific)

Programs may have additional prerequisites based on curriculum level.

1.2 Required Documentation

All applicants must submit accurate and verifiable documents, including:

  • Passport copy

  • Proof of address

  • Academic transcripts / certificates

  • Visa-related documents (if applicable)

  • Any supporting documents requested by the admissions team

OXDUB reserves the right to request additional documents to verify eligibility.

1.3 Application Process

The admissions process typically includes the following steps:

  1. Submit Application Form

  2. Submit required documentation

  3. Application review by Admissions Team

  4. Conditional / Unconditional Offer Letter (upon approval)

  5. Payment of applicable course fees

  6. Confirmation of Enrolment

Applications are evaluated fairly and in accordance with OXDUB’s non-discrimination principles.

1.4 Conditional Admission

Some applicants may receive conditional offers, subject to:

  • Submission of pending documents

  • Language test results

  • Payment confirmation

Admission is not final until all conditions are met.


2. Fees & Payment Policy

2.1 Fee Structure

All program fees are published on the OXDUB website or official communication channels. Fees may include:

  • Tuition fees

  • Registration fees

  • Material / resource fees (if applicable)

  • Examination or certification fees (if applicable)

OXDUB reserves the right to update fees periodically.

2.2 Payment Methods

Fees may be paid through:

  • Secure online payment gateway (e.g., Stripe)

  • Bank transfer (if provided)

  • Other approved payment options listed on the website

All payments must be made in {{currency}}, unless otherwise specified.

2.3 Payment Requirements

  • Fees must be paid in full before course commencement.

  • Late or incomplete payments may delay enrolment or result in cancellation.

  • Students are responsible for bank charges or transfer fees.

OXDUB does not guarantee a seat until payment is confirmed.

2.4 Currency Fluctuation Disclaimer

For international payments:Exchange rate variations or bank charges are the student’s responsibility.


3. Refund & Cancellation Policy

OXDUB aims to offer a fair and clear refund framework. All refund requests must be submitted in writing with supporting documents.

3.1 Refund Eligibility (General Conditions)

Refunds may be granted when:

  • The student withdraws within the permitted refund period

  • The student receives a visa refusal (documentation required)

  • OXDUB cancels or reschedules a course significantly

  • The student is medically unable to participate (proof required)

3.2 Non-Refundable Fees

The following fees are strictly non-refundable:

  • Application fees

  • Administrative / processing fees

  • Late payment penalties

  • Courier or document verification charges

  • Any optional service fees

3.3 Refund Process

  1. Student submits a written refund request.

  2. Attach required documents (visa refusal letter, medical certificate, etc.).

  3. Refund review by Finance & Admissions Teams.

  4. Refund issued within {{X}} working days if approved.

Refunds will be processed using the original payment method, unless otherwise specified.

3.4 Visa Refusal Refunds

In case of visa rejection, students must provide:

  • Official visa refusal letter

  • Matching application and personal details

Eligible students may receive a refund minus non-refundable fees.

OXDUB is not responsible for visa decision outcomes.

3.5 Withdrawal or Cancellation by Student

Before Course Start

  • Eligible for a partial refund (as per course-specific timeline)

  • Non-refundable fees will be deducted

After Course Start

Refunds are generally not issued unless supported by exceptional documented circumstances.

3.6 Course Cancellation by OXDUB

If OXDUB cancels a course:

  • Students may choose a full refundor

  • Transfer enrolment to another available course

This does not cover cancellations due to events outside OXDUB's control (force majeure).


4. Deferral, Transfer & Changes

4.1 Course Deferrals

Students may request to defer their course to a future batch, subject to:

  • Space availability

  • Updated fee structure (if applicable)

  • Approval from the Admissions Team

4.2 Student Transfers

Transfers between courses may be allowed if:

  • Student meets new course requirements

  • Fee differences are settled

  • Transfer request is approved


5. Accuracy of Information

Applicants must provide accurate and truthful information.Providing false, altered, or misleading documents may lead to:

  • Rejection of admission

  • Termination of enrolment

  • No eligibility for refunds

OXDUB reserves the right to verify documents independently.

  • Gender

  • Nationality

  • Religion

  • Age

  • Ethnicity

  • Disability

  • Background

All applicants are evaluated solely on merit and eligibility.
